Using Student Data in a Needs Assessment
by Don Peek

Hopefully, most grants you write will be for money
to help improve student achievement. While there are
certainly other worthy causes at schools that need
funding, student achievement remains the main focus at all
high-quality schools throughout the nation.

Grant money is often awarded to schools who seek money to
try new approaches to improve students achievement or to
initiate a proven program that has already been successful
with similar populations.

In order to qualify for a lot this money, you must prove
you have a population, or sub-population, that is not
performing up to standard. You will also show, on
paper at least, how your newly-funded program or process
will help those students close the gap, or even meet or
exceed the published standards.

What types of student information might you need to
include in order to prove you need grant money to
achieve your goals? Here is a list you might
consider as you begin your needs assessment:

Student demographics (gender, race, age, economic status,
grade, etc.)

Number and percentages of students in special programs
such as special education, ESL, GT, etc.

Disaggregated results of standardized testing

Attendance rates

Disciplinary figures

Passing rates on state testing by grade, subject and
subgroup

Graduation and dropout rates

SAT/ACT participation and results

These types of statistics should paint a good picture
of your population and the problem areas you're trying
to remedy.

You won't use all of the above information on every
grant application. You could even hurt your application
by putting in irrelevant statistical information. But
don't leave out anything that will strengthen your appeal
for grant money to help improve student achievement in any
area.

You may be able to write in flowery language and be a
tremendous persuader, but nothing will get you a grant
faster than truly understanding your needs and using
statistical information to back up your claims.

The first step in the change process is to understand the
problem. When grant readers see you clearly understand the
problems your school is having as evidenced by the hard
data in your needs assessment, your grant application has
an edge throughout the rest of the process.

Whenever appropriate, you should use student data to build
your needs assessment.

Tips

  1. Before you begin writing, know exactly why you need the
    grant money you're requesting. Be able to state your
    need convincingly, clearly, and concisely in one
    paragraph.

  2. It is normally better to write in the "type of program"
    you will use to achieve your goals in the grant rather
    than a specific product.

  3. Have a strong evaluation component so you can precisely
    measure the amount of improvement the grant money
    helped you achieve.

Q. Why should I pay $3,000 to & $7,500 to get a large grant
written when I can do it myself?

A. You probably shouldn't IF you have the experience to
write a quality grant application or you are willing to
study the best grant-writing materials available and
follow their advice and examples closely. On the other
hand, because so many schools seek grants, it may be
worth it to get a professional grant writer to either
write the grant for you or review the grant you have
written to make sure your grant is competitive.
